015. 5 Tips to Spring Clean Your Business
[0:58] Hey there friend welcome back to another episode of the build it like a business podcast I'm so glad you're here with me today and I often say this at the end of my episodes but just in case just in case you've never listened all the way to the very end I'm going to say it now at the very beginning. Take a moment for yourself and the fact that you're here right now and just.
[1:19] Give yourself the appreciation and pat on the back that you deserve, because you're showing up for yourself today whether you're listening to this episode while you're doing laundry or cooking or laying on the floor in your living room wishing that you could leave the house but everything is closed and so you can't. Wherever you are whatever you're doing while you're listening to this you showed up.
[1:43] You did the thing you got up and you put the headphones on and you're listening and you're doing that for yourself and I just want to make sure that you recognize. How important that is taking that step making the decision to show up so I sometimes share that at the end of episodes but just in case just in case you don't get to the end of the episode maybe drop off a little early because we're just sort of chit-chatting at the. I want to make sure that you know that what you're doing by showing up for podcasts like this or anything else where you show up to support yourself and support your business that deserves recognition and. From me to you you're doing great and good job showing up also I just want to bring to your attention that.
[2:31] March 20th is / was the first day of spring here in the US I say is / was because. It's March 10th when I'm recording this so it has not happened yet but by the time you're listening it will have already happened and so I don't know what tents to talk in I'm new to this podcasting stuff but.
[2:54] All of that aside I think it's kind of crazy that literally this month in March. It is going to be the first day of spring there is still snow on my lawn right now but oddly enough yesterday it was warm enough that I sat outside for like an hour and a half on my deck and I did work in short sleeves and it was wonderful and so that is just so and so very interesting to me and I can't wait for more days like that more days of being able to go outside and have short sleeves on and I have to find a jacket before I leave the house. It was just so refreshing yesterday to be able to just have the air around me and not be in my house and surrounded by the same four walls and it just like my dogs were playing and I was working and it just smelled like fresh air and spring and gosh I cannot I cannot wait for more of that so here's to spring coming ASAP can I get an amen. I'm also starting to get the itch to spring clean my house I sort of always have this itch to clean I don't know what it is I just like to keep things tidy and so I always want to like.
[4:03] Pick things up and clean things if my mom was listening to this she'd be like yeah right Mom I'm a different person than I was as a child. My messy bedrooms but I always have this itch to clean up and so it's kind of like coming on strong now that the spring is here. And I just kind of think of spring cleaning as this opportunity for a fresh start you know even if you keep your house.
[4:25] Tidy throughout the year spring cleaning just feels like the sense of renewal the sense of starting fresh of.
[4:33] Kind of the way New Year's feels like a fresh start like spring is to me and even better fresh start because you know. That the weather's about to change you get this itch to go outside and move a little bit more and so I want to get up and take deep clean my house. Feel like in Winter you don't really feel like doing anything maybe this is just me I know one winter I am a lot less motivated to get up and make things happen I just want to like kind of lays around a little bit.
[5:02] But the spring is full of energy and life and growth and I just want to get up and go and that spring cleaning really isn't just for our houses. For her businesses as well that seemed feeling of energy and Awakening and A Renewed sense of purpose in our lives can also happen in your business spring cleaning is really giving yourself a clear path to grow and that happens in your life and now we can take that and we can do it in our businesses to because why not. If it feels so dang good in real life. Why not take that incredible energy and just bring it to our work as well so today I want to talk about, five little ways that you can sprinkling your business and give yourself a fresh start ways that you can clear the cobwebs and the Clutter and just give yourself a clear path to run down. During this change of seasons and the rest of the year so my goal today is to give you five just really actionable areas in your business that you could work on just sprucing up a little bit. You could go all in on these you can pick and choose what works for you and what you need what's going to give you the most energy and sense of purpose, take from this what you need.
[6:22] One thing is for sure is that there is no one rule book so I definitely think that you can mix and match you can choose what feels best to you but I'm going to give you five tips and different areas that you can start working on and my hope is that you'll walk away from this. With a path that you can take with an action step that you can start working on this week to give yourself that fresh start as we move into the spring.
[6:50] So my first tip to sprinkling your business is to start with your technology start with your phone pull it out maybe even while you're listening to this episode and first up get on your home screen scroll over to the other screens and start deleting. Any apps that you don't need or don't use.
[7:08] Anything that you haven't touched in a long time anything that you'd rather deal with from a computer or a larger device anyway. Remove that from your phone anything that triggers you into feeling less than how amazing you actually are get rid of that. I could be sales notifications you know if you find yourself constantly checking for sales notifications and feeling disappointed that.
[7:36] Didn't come in or wishing it was more. Get that off your phone you don't need to be looking at that that isn't building you up in any way it's just making you worry. So anything like that that isn't building you up and making you feel good if it's not contributing to you being the best version of you go ahead and get rid of that on your phone you don't need that clutter.
[7:58] And then turn off notifications for any app that isn't crucial so on my phone, the only apps that I really keep notifications on for and hopefully I'll be able to list them here. Without looking at my phone but I keep them on for phone calls for FaceTime I have an iPhone I keep them on for text.
[8:20] I keep them on for maps like Apple Maps so when I'm driving she'll actually. Give me the road map and tell me where to go but other than that and I will preface this by saying I could definitely be missing something I don't think I am but I could be. But other than that I don't get any notifications and the reason for that is because phones can truly become completely addicting. And I know for myself I go in and out of that like all have periods of time weren't really conscious of it and I'm like nope I'm off my phone like I'm not going to be on that all the time, and then I have other times when I feel like I'm on my phone all the time and so one of the best things that I ever did to help me not feel like I was constantly attached to my phone is to turn off those notifications I can go and check Facebook when I want to check Facebook I definitely don't need to have notifications on for emails I can't give my best to any email, if I am checking it in the middle of dinner or in the middle of the grocery store so there's no reason for me to have notifications turned on for that same thing for Facebook it's not even that I have to give very much to Facebook.
[9:33] Facebook doesn't really deserve it no offense Facebook but I don't want to have Facebook being the thing that pulls me away from something much more important like a conversation with my husband, or work that I need to get done or literally anything so I check Facebook on my time I check social media on my time. I do not put notifications on for that because I just it doesn't need to rule my life.
[9:57] One day I might delete it completely from my phone but I'm so not there yet so notifications are off.
[10:03] Then you can change your background to something that just makes you happy brings you Joy so you can go on Google and just search for something, you maybe you've got something from the holidays and old quotes an old picture of your kids, whatever it is go and find something that's going to make you feel good here and now and is up to date based on your where your life is so I know that. Usually right around when the seasons change I usually update my background too, make me feel good about whatever is happening so in the fall is we're getting into like cozy season I'll usually put something that's more like a burgundy. And in the spring right now I have beautiful bright pinks and teals and yellows and it just makes me feel so happy to look at so.
[10:46] Whether it's an updated photo of your kids whether you go on Google and search for a quote that you enjoy or maybe you look for free backgrounds on Pinterest something like that. Whatever it is go and pick something give your background a little makeover a fresh start so that anytime you do have to look at your phone. It just makes you feel a little bit better brings you a little more of that Joy.
[11:10] And then I also want you to go and turn on do not disturb at night and in the morning so I know that this can be done on iPhone I don't use any other phones I never have and so it may not be possible, but I think it is so I'm going to Just Go With It Go on your phone and in your settings you can schedule do not disturb to turn on at a certain time every day and turn off at a certain time every day so mine turns on around 7:30 at night and it does not turn off until 9:30 in the morning because at those times just like with social media I want to be on my phone on my terms I don't want anything to be ruling my world those times a day other than myself my husband is here with me so I know that his messages are always going to get through and at 7:30 at night 9:30 in the morning I know exactly where he is anyway so it's like not a big deal.
[12:06] If you know that there might be someone that you're going to get a call from or that you need to be able to get texts from you can just add them to your favorites list. And that basically white lists them so that their messages and phone calls will come through. So there's a way around it for the people that you really really need to be able to get in touch with or have them get in touch with you but otherwise give yourself that, that couple hours of quiet in the morning in the night. Where your phone's ringer isn't ruling your life it isn't it isn't distracting you from anything it isn't taking over any part of your day for at least those couple of hours in the morning and in the evening. And then finally just set an updated reminder for anything you need reminders for so whether that's to take a medication whether that's to drink water just take a look at your reminders get those scheduled get those updated if you need to I know for me having a reminder to do certain things on a daily basis or a weekly basis is a game changer because I always want to think I will remember things and then I don't. So I just stopped trying and just started setting myself up for success by scheduling reminders for myself so now is a really good time to just go ahead and do that. And a lot of the stuff can be done on your computer to so anything that can be applied to a computer do all of that on your computer or your iPad as well. But one thing I will also add is if you're on a computer clean.
[13:36] Your desktop thinking of my husband's computer as I'm saying this his desktop looks like.
[13:42] A whirlwind like a tornado went through it there are so many files is desktop it makes me crazy I like to keep my desktop really nice and clean and part of the reason I do that is because it's less visual clutter and that visual clutter is distracting and it drains your energy. Even if you don't realize that it's happening, every time you have a little pile of something around you that is one thing that's pulling your brain in another Direction so start fresh set yourself up for success and just clean up your desktop get all those unused files deleted put any files that need to be organized into folders, and just give yourself a fresh start there so while we're talking about decluttering because that was really the first tip is like declutter all of the things. But while we're talking about decluttering and we talked about your phone we talked about your computer I'm going to also tell you to go into your office or your workspace whatever that is for you. And be ruthless be totally ruthless about it take an inventory of what's in your office whether it's old books or new books that are on the reading list on her not going to get read. Or that maybe you need to read, or maybe it's stuff that's on your desk or piles of paper and get rid of anything you haven't touched in six months to a year or more.
[15:07] If you need to file it away you can file it away but again be ruthless about this, be really honest with yourself about whether or not it needs to stay in your presence if it doesn't need to stay in your presence can it be thrown away and completely gotten rid of or does it have to be stored and filed away but just get it out of your office get it out of your space and if possible just, get it out of there altogether take some time to wash everything down even if you're just going in with a wet washcloth and just wiping everything give yourself a chance to actually make everything clean and New Again dust if you have a ceiling fan don't forget that I'm looking at mine and it is absolutely disgusting so I need to go and implement. This list myself and get that dusted so that when you're sitting at your desk you're sitting in your workspace and you're looking around you're seeing that clean fresh start and that clean fresh start that's surrounding you, will transfer to how you feel and how you think and how you're acting. So tidy things up throw stuff away that you no longer need wash and dust just clean things up. And while you're doing this don't be tempted to implement impossible to maintain systems.
[16:21] Use what you have available to you so if you feel like you need to organize things into boxes or bins of some kind look around your house and see what you have already that you can use, you do not need to go and buy beautiful acrylic clear containers to organize everything you don't need to go and spend $10 per Lazy Susan at Target you don't need all of this stuff organization really comes from finding systems that work with what you already have available, because those are the ones that are going to be most easily maintained so know that, what I'm telling you to do with cleaning up your workspace and getting organized.
[17:03] Does not cost anything or it doesn't need to and I would encourage you to avoid spending any money until it's already done and you've had a chance to see exactly what you need, if you need anything at all.
[17:16] All right so tip number one was to declutter everything all the things so let's move on to tip number 2 which is to spruce up your social media. So first and foremost if you have a group for your business maybe it's a Facebook group for customers Maybe. A Facebook group for just people in your industry to join like a just-for-fun Facebook group or a marketing Facebook group whatever it is go in that Facebook group and you can start by removing accounts that haven't interacted in over a year that are just like totally ghosting the whole group as a whole or you can share a post in the group if it's reasonable for you to do this based on the number of people but share a post in the group tag those people and in the post you can just say something simple like hey just checking in your in the group but I haven't heard from you in a while how are you doing what can I help you with. Something's going to happen when they get that tag they're either going to completely ignore it and in a week you'll see that they still haven't interacted.
[18:15] Or they leave on their own because they actually aren't interested in which case that's easier for you because you don't have to remove them or. They're going to be excited that you tag them and they're going to be like oh my gosh I forgot I joined this group I really have been meaning to interact this whole time I have so many questions and then they're going to get involved so. Take some time to refresh the list of people who are in your group remove anyone who isn't an active member who isn't participating and if possible re-engage anyone who hasn't engaged in the past year or in the past six months or whatever length of time you choose.
[18:53] So with that thinking about sprucing up your social media I'm also going to tell you to go and set up a social media scheduler if you don't already have one get some posts set up on autopilot so that you're not tied to your computer and this is really something that's valuable all year long but in thinking about spring and spring cleaning and all that I know that as the weather starts to get warmer I don't want to be on my computer I want to be outside as much as I possibly can and so by scheduling posts I'm able to build in that flexibility into my life. I can build in the freedom to not have to sit in front of my computer every day, but also still be present for my audience for my customers and everybody in between.
[19:37] And you don't necessarily have to schedule like these really deep posts that take a long time to write you could potentially just schedule to. Per week sort of has like a back-up plan like these could be just your engagement posts where you're asking a simple question so that people respond these could be post where you just say like happy Friday how are you doing these could be sort of your more basic. The things that are easier to schedule ahead of time because they're relatively simple in what they say but take the time to get those scheduled, so that you just have a little bit of leeway so that you've given yourself a little bit more freedom and space as the weather gets warmer and nicer and you might want to be outside or take a break or be able to step away from your devices if you don't have a social media scheduler that you love I highly highly highly recommend cinch share its cin ch.
[20:34] Share and this social media scheduler was designed with Simplicity in mind really when the founder created since share she was aiming to reduce the total number of clicks required in order to schedule social media and really just save as much time as possible I listen to this incredible interview with her on another podcast. Where she was just talking about how she wanted to find a solution for scheduling social media that was truly simple that was truly easy to use and actually a Time Saver because so often social media schedulers you might save time and actually scheduling but then you end up spending more time figuring out how to use it and getting it all set up. And I just thought this was such an incredible concept and then after having actually had a chance to use since share within my own business. [22:22] That I should check out but anyway hope that that helps give you some freedom to not be tied to your computer all the time. All right next up on sprucing up your social media is to do an audit of your Social so on Facebook you can go and update your profile with your current website. If you're using an anchor card you should put your anchor card link as your website because that's going to connect people to, everything about your business so it really lets you maximize that one website.
[22:51] Freshen up your cover photo go through your friends list and remove anyone that you no longer want to have on your social media or just aren't connected to any more, you can update your profile photo with your beautiful face make sure that you've got some nice eye contact there and make sure that you're smiling and you can do a similar thing on Instagram as well, make sure that you have an updated bio that clearly states who you are who you serve what you do.
[23:18] Make sure you have an updated Lincoln Vaio just like on your Facebook account you can use your anchor card as your website link because that anchor card is going to give your followers access to every part of your business whether it's growing your team whether it's sharing your lead magnet whether it's booking an appointment with you your anchor card will do all of that so use that as your Lincoln bio and really maximize that quote-unquote real estate that's in front of you there, and again make sure that your profile photo is updated with your photo don't put your logo don't put somebody else's picture make sure that your smiling faces there because that's really going to build that trust and credibility. Way more than a logo or some kind of generic photos ever going to be able to do so tip number three is to engage your email list. If you forgotten them it's okay if you've ghosted them a little bit it's all good this is your chance for a fresh start remember so. Now is your chance to go and clean up your list send an email to anyone in your system that hasn't opened an email in more than six months.
[24:27] And just ask them to reply if they're interested you can even get fancy and set up an automation to do this for you I'm not going to get into it on the podcast because that's just really not. Feasible for me to try to explain on audio but you can do it manually by asking people to reply if they're interested and then going back and deleting anyone who or unsubscribing rather, anybody who doesn't reply back or you can go and just do a very small amount of research and you'll find a way to automatically remove anybody who doesn't reply so just take a few minutes to look your email list sort by when they've last opened if it's more than 6 months ago than they really don't need to be on your email list because remember when you're paying for an email list you are literally paying per subscriber, generally you're paying for a couple hundred at a time or a couple thousand at a time but you're paying per person so there's no reason for you to be paying. For someone who isn't opening your emails anyway right they're not your people at least not when it comes to email. So you have full permission to unsubscribe anyone who's not even engaging in the first place. If you don't currently use email in your business then I would definitely recommend going and getting an email list set up.
[25:43] I started using email in my business anchor design, in my second year and it was a literal game-changer like it completely flipped the script for me email is one of those things where you're really in a vacuum with your audience it's your one opportunity to talk to them close to one on one without actually being on a phone call or in person or on a zoom call. It's just you and them in their inbox there's no one popping up around them, there's no social media notifications grabbing their attention or people sending them instant messages, so it's a really really really effective way and one of the most effective ways that you can actually Market to your audience online. Out the distractions of social media if you don't have email setup and you need a recommendation for what email software to use I personally use active campaign and that's the one that I recommend to absolutely anyone I think of it as my forever software so rather than starting with something that is free but maybe doesn't have the right capabilities our analytics or features I think active campaign is a super affordable and really feature-packed option for any type of business it believe their base.
[27:01] Plan starts at $15 a month which is I think just really affordable so I I highly recommend them you can check them out at anchor design co.com / activecampaign if you want to take a look but of course.
[27:18] Take a look online there are tons and tons and tons of email options out there no matter who you choose I just want you to get started and make sure you're emailing your list because that really is such a valuable way to mark it.
[27:32] Okay so moving on we have decluttered all of the things I'm spruced up our social media we've engaged your email list and now I want you to go and manage your money so if your books are not up to date spend an hour or two depending on how far back you need to go getting those updated and making sure that every transaction is accounted for. This is not the kind of thing you want to put off so if you have been procrastinating a little bit, now is your opportunity again for a fresh start you can go and fix up your books and get those all in order. And then with that while you're doing that I want you to make sure that you have a plan to pay yourself and mark the days that you're going to get paid in your calendar.
[28:17] And the reason I say this is because so many business owners especially when they're trying something new that requires an investment. Or they're just getting started or maybe they feel like they've been in a rut for a while they don't pay themselves and the result of not paying yourself is that eventually you become resentful of your own business because it's taking your time and energy and giving you nothing in return, so make sure that you have a plan too. To give yourself the compensation that you deserve for all that time and energy that you're putting into actually making this a successful sustainable business. And then finally go through your bank statements look at your transactions and just watch for Trends is there anything you want to address maybe higher spending in one area than you were expecting to see and so maybe you need to go and look into why that's happening or a subscription you no longer use or maybe something that, you do use but maybe you're paying too much maybe you have an opportunity to lower your payments somehow. Go through and look for those Trends and just take care of them if you need to cancel something if you need to update something go ahead and make sure that gets done.
[29:27] And last but not least go and set a baseline for your analytics so I know that analytics can be scary and that's partially why I saved this one until the end because I want to make sure you at least walk away with tips 1 through 4 but I hope you'll stick around for this one. Let's simplify analytics because I know that they can be overwhelming for years and years and years said I'm not a numbers person numbers are scary I can't do numbers. But the truth is that numbers don't lie and they are going to give you a more honest review of your business so that you know when you're actually making progress than anything else ever will and so let's go ahead and Tackle them by making them really super simple. So first thing you're going to do is pick the five things that you want to improve in your business this year five things that will move the needle and really truly make a difference for you so this could be your Revenue your sales the money that's coming into your business. This could be your number of Instagram followers or Facebook group members or the number of people involved with you on social media in some capacity. This could be your email list so how many people are on your list maybe more specifically it's your open rates or click through rate.
[30:45] It could be how many days a month you go live on Facebook you know how often do you want to do a Facebook live it could be how many hours you spend working each week it could be your screen time, it doesn't have to be all the obvious marketing stuff so you can really look at your business and look at all the different aspects of it. And choose the five things that are going to make the biggest impact for you and then I want you to make. A chart a really really simple one star by making one column for whatever your tracking so Facebook followers or revenue or sales whatever it is. And then after that you're going to add a column for every month of the year January through December even though a couple months have passed go ahead and just put everything in any way starting from January. And then you can go in and fill in. Any of the columns that have already happened or any of the the months that have already happened so if you're tracking Revenue you would add in your revenue for January February March you might not know things like your follower account and.
[31:43] Fine if you don't know something and there's genuinely no way to figure it out it's all good just start with this month, but if you do have the ability to get that information if you can go to your bank account and look at how much money came in or if you can go on Facebook and count the number of times you went live in a specific month. Add that information that'll give you some data to start with and that's really going to give you your Baseline and then by having this setup. You can now set yourself a quick little reminder to at the end of every month or maybe the beginning of every month looking back at the previous month you can sit down for 30 minutes and fill this out we all have enough time to do a 30-minute task, that is literally going to make our businesses grow and help us make more money like we all have that kind of time on our hands because that's part of our job as business owners so get your chart setup. Put in your simple metrics that you already know for those five things don't go overboard I would encourage you not to go crazy over over five things keep it simple keep it sustainable because that's what you're going to be able to follow through on so take the time to make your chart fill in the months that have passed and set yourself a reminder to go in and fill it out each month. This should really take 30 minutes or less every single month.
[33:08] And by the time the year is done you'll have 12 months of analytics tracked that you'll be able to go back on, and look at Trends and see what was happening in your business you can look where things dipped lower-than-expected and start to make correlations between what was going on that month. And what your sales were or what your follower count was or how often you are able to go live on Facebook and you can start to see okay what do I need to change for next year what do I change you need to change even, for next month if you're going to be looking at this on a monthly basis but having that Baseline now is what's going to give you the information that you need later on, so you might not know exactly what to do with these analytics now that you have them. But once you do know and once you've gotten comfortable with looking at data and taking information from it you'll have the data to work with. There's nothing worse than knowing what you need to do and not being able to do it because six months ago you didn't take action when you should have so, give yourself some time to get this done and it's going to pay off later. All right so there you have it five simple steps to spring clean your business first being to declutter everything from technology to your office and then spruce up your social media making sure all your information is up-to-date.
[34:35] Engage your email list so remove anyone who's not engaged and if you don't use an email list. Now might be a great time to start so do that if you need to.
[34:48] Then manage your money, make sure your books are up-to-date, make a plan to pay yourself and get rid of any unnecessary subscriptions or spending. And then finally set a baseline for your analytics pick the five things that you want to improve this year the things that are going to make.
[35:04] Biggest difference that are really going to move the needle for you and make a simple spreadsheet in Excel or Google Sheets or whatever you like to use for a spreadsheet. And update that with your current numbers so you have something to start from. And set yourself a reminder so you can go back 30 minutes a month and get that updated every single month so that you have those numbers already by the end of the year.
